The Allied Dancing Association Ltd currently collects and processes the following information:

  • Identifier information, for example, name, address, email, contact details, qualification details etc.


How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:


Executive Council and Members

  • It includes, but not limited to, the administration of joining and renewals, distribution of the regular email newsletter and annual association magazine, organising competitions and hosting workshops and training courses, access to general meetings, access to the examinations service and providing disclosure and baring service checks and registration. Organising the annual congress and attending and voting at the AGM.

Newsletter and Annual Magazine publications

  • With consent, to collect news items and publish them via an email newsletter, in an annual magazine or on social media.

Sub Committees

  • With consent Members’ details are shared with the relevant subcommittees so they can be invited to, or discuss relevant events.

E-news items

  • With consent we email items of news that we believe will be of interest to our members.

  • We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our website and e-news items.

Email addresses

  • If an email address is provided we assume consent to use it for administrative purposes of membership (e.g. notification of membership renewal, processing of examination sessions, competitions, AGM voting and newsletters etc.)

  • We will not use it to send marketing or e-mails without your explicit consent.

Examination sessions

  • The Allied Dancing Association Ltd collects and holds information to administer the taking of qualifications and issuing of certificates to successful candidates. We will hold the certificate information indefinitely so that it can be confirmed to any interested party it is genuine. We will also hold details of any references which may support applications. This will also include any Members who are transferring qualifications held with another Association to the Allied Dancing Association Ltd.

  • Examiners will hold details of candidates which will be required to complete the result forms.


  • The Allied Dancing Association Ltd will collect limited information to ensure we are able to administer the event.

Data Retention

  • The duration for which we retain your personal information will differ depending upon the type of information and the reason why we collected it from you. However, in some cases personal information may be retained in accordance with usual commercial practice and regulatory requirements. Generally, where there is no legal requirement we retain all physical and electronic records for a period of 6 years after your last contact with us.


It is important to ensure that the personal information we hold about you is accurate and up to date, and you should let us know if anything changes, for example if you change your telephone number or email address.

Website visitors

  • When someone visits we use third party services, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone.

  • Cookies – The Allied website uses cookies – small text files that are placed on your machine to help the site provide a better user experience. In general, cookies are used to retain user preferences and provide anonymised tracking data to third party applications like Google Analytics.


We also receive personal information indirectly, from the following sources in the following scenarios:

  • From Members/Teachers, Non Members (Pupils/Other Professionals), Employees at events and from the public.


We use the information that you have given us in order to: 

  • Undertake examination sessions

  • Undertake competitions

  • Undertake postal Ballot for the AGM


We may share this information with Examiners, Scrutineers, Auditors, Accountants

(a) Your consent. You are able to remove your consent at any time.

(b) We have a contractual obligation.

(c) We have a legal obligation.

(f) We have a legitimate interest.
